Position Summary:
We are seeking a highly organized and proactive Program Administrative Officer to join our
team. The successful candidate will support the smooth functioning of programs by providing
administrative and logistical assistance, ensuring operational efficiency, and contributing to the
achievement of program goals.

Key Responsibilities:
 Provide administrative support to program teams, including scheduling meetings,
preparing agendas, and recording minutes.
 Coordinate logistics for program events, workshops, and conferences
 Manage program documentation, including maintaining accurate records, reports, and
databases.
 Monitor program budgets and expenses, assisting with financial reporting and ensuring
compliance with organizational policies.
 Assist in the preparation of program materials, reports, concept papers and presentations.
 Support the team in tracking program deliverables and deadlines, ensuring timely
completion of tasks.
 Perform other administrative duties as required to support program activities.
 Conduct field visits and trips as required by the program.
Qualifications and Skills:
 Bachelor’s degree in Administration, Management, or a related field (or equivalent
experience).
 Proven experience in an administrative or program support role, preferably in a non-
profit or program-driven environment.
 Strong organizational and multitasking skills with attention to detail.
 Excellent communication and interpersonal skills.
 Proficiency in Microsoft Office (Word, Excel, PowerPoint), accounting software and
other relevant software.
 Ability to work independently and collaboratively in a dynamic team environment.
 Familiarity with budget management and reporting is an advantage.
